Merge Many Quotes to One Sales Order

REQUIREMENT

A national distributor/retailer to retailers and large property management operations often provides customers Quotes with many SKUS and line-level details for their own customer and projects. Customers then require a number of approved Quotes to be converted to a single Sales Order, for their own accounting requirements.

ISSUE

NetSuite does not support converting more than one Quote to a single Sales Order, so users need to manually build a Sales Order with many SKUS and their unique pricing and line-level details. This was very time-consuming and error prone, and lacked any connection to the originating Quotes for historical purposes, and Quotes were often mistakenly left Open.

SOLUTION

We designed and built a seamless automation that allows permissioned users to easily identify and merge multiple Quotes into a single Sales Order, with one multi-select list and a single button.

  • Details on the primary Quote apply to Sales Order body fields

  • Sales Order line Items are applied from all Quotes optionally, with either duplicate SKU quantities merged into one line (per the details applied to primary Quote) or broken out and applied separately as defined on each line item’s Quote of origin. 

  • Each merged Quote is automatically marked Closed/Won and linked to the Sales Order via a sub-list for clear visibility and history.
